Targeted Engagement Grant Application Form

Applicants must address all 17 points of the criteria below in sections A, B and C. Applications that do not address all 17 points in sections A, B and C will not be considered.

A. General Information

  1. Organizer Requesting Grant (Name of Organization, Name of Lead Person/People, Email Address, and Telephone Number).
  2. Organization’s Business Number (or GST number) and Associated Business Address (This information is required to issue a Government of Canada cheque).
  3. Project Title.
  4. Project Location and Date.
  5. Amount Requested.
  6. Has your organization ever applied for grant funding from the Department of National. Defence before? If so, indicate when and the result of your application.
  7. How did you find out about the DEP?

B. Project Information

  1. Provide a description of your project including key dates and any major/relevant milestones.
  2. Explain which Defence Team Engagement Priority listed on the DEP website your project will address, how it will do so, and how this proposed project directly relates to Canada and/or Canadian defence and security interests.
  3. Provide a list of project participants and/or speakers, even if this list is preliminary.
  4. How do you intend to engage the Department of National Defence and/or the Canadian Armed Forces as participants in this project?
  5. While a financial statement and project report must be provided to National Defence within 60 days of the project’s completion, we also encourage applicants to brief members of the Defence Team on the results of the project in Ottawa as part of the project budget. Describe how the results of your project/event will be conveyed to the Canadian Armed Forces, the Department of National Defence and the public (e.g. through reports, briefings, publications or other means).

C. Financial Information

  1. Provide the overall financial breakdown for the project by category of expenditure, including all sources of revenue and all expenditures.
  2. Explain precisely how the funding requested from the DEP will be used, indicating which expenditures it will cover (travel, accommodation, research assistant, etc.), and providing a detailed explanation of how these expenditures were calculated (e.g. numbers of attendees and rates on which accommodation, travel and hospitality costs are based).
    • Funding cannot be used to offset expenses related to insurance, interest charges, professional services (including audits), utilities, amortization, rent, office overhead (including stationery costs), capital assets, honoraria, to purchase alcohol, or for purposes other than those stated in the proposal.
    • The DEP accords higher importance to costs that directly support the generation of ideas. As a publicly funded program, applicants are encouraged to carefully assess the amount and relative ratio of funding allocated to hospitality. The DEP will only fund hospitality costs – including per diems, hotel expenses and meals – up to the maximum allowed under the Government of Canada guidelines provided by the National Joint Council at the following address: https://www.njc-cnm.gc.ca/directive/d10/en.
  3. Has your organization applied for or received funding from any other sources for this project? If so, please indicate the sources of funding and the status of your application(s).
  4. If only partial funding is granted by the DEP, what effect would this have on the project?
  5. Applications must include a detailed budget, a preliminary agenda, a list of participants, and any other information relevant to the project. The Department of National Defence reserves the right to request receipts and/or other documentation to assess how funds are used.

Important Information:

  1. You will receive an acknowledgement email from the DEP upon receipt of your funding request.
  2. The Department of National Defence should not be the only source of funding for a grant proposal. A list of other sources of funding (both obtained and requested) must be included in the application.
  3. A representative of the Policy Group may attend the event.
  4. Applicants must acknowledge the support of the DEP by providing written recognition in all materials produced and intended for the public.
  5. Successful applicants will receive a copy of the terms and conditions associated with the grant before funding is released. Successful applicants will be required to sign and return the document to the DEP.
  6. We would request that you provide to the Department of National Defence a reasonably detailed account of the work undertaken as well as copies of unpublished conference presentations resulting from the award 30 days upon completion of the project.
  7.  Recipients will grant a free licence to reproduce or use any information or publications produced from a project for Government of Canada purposes
  8. Unspent funds must be returned to the Department of National Defence by cheque payable to the Receiver General of Canada.
  9. Successful applicants must provide a financial statement and report on the project within 60 days of the project’s completion.
